Salary: $35,000 - $40,000

Impact

Junior Achievement of Kentuckiana seeks a Administrative Coordinator who has a passion for making a difference within a local non-profit. As a vital member of our team, you'll play a crucial role in supporting the day-to-day operations, ensuring smooth administrative functions, and contributing to our mission of serving those in need.

The Administrative Coordinator serves in a support role for the entire JA Team with database administration, financial management, reception, program, and admin support.

Primary Responsibilities:

Financial Management:

· Manages check, credit card, cash, and gift in kind processing within BCRM.

· Deposit of checks through the electronic system via CHASE account.

· Produce monthly invoices and email them, oversees development past due report with SVP. Follow-up on overdue pledges.

· Assists auditors with the completion of the annual sampling of verification processes, in-kind donations, and volunteer lists.

· Processes mail thank you letters to donors.

Reception and Administration Support:

· Oversee Starfish Flinger Program.

· Contact board members regarding attendance at meetings and prints name tags for meetings.

· Assists with board and external group meetings, as needed.

· Manage All Staff meetings with Agenda and Time.

· Momentum phone services changes with staff and manage problems.

· Copier Training with staff changes and problems.

· Front-Desk reception, answering phones and assisting guests and volunteers.

· Order office supplies on an as needed basis; anticipate needs and ensure that adequate office supplies are ordered on a timely basis; Confirm receipt of supplies/billings for processing-info to SVP Operations. Ensure all departments have a PO approved for purchase.

Database Administration:

· Learn about the new BCRM enhancements by attending JA USA meeting and then making recommendations of which enhancements could help our local office.

· Proactively look for errors and duplicates in BCRM data and assist with making corrections.

Capstone Support:

· Manages the volunteer aspect of Engage for capstone with QR Codes each morning.

· Enter and verify capstone classes in BCRM.

· Create and maintain school folders for capstone programs.

Qualifications (required)

· Demonstrate intermediate to advanced skills and knowledge of Excel, as well as other Office 365 applications.

· Strong organizational skills and the ability to meet deadlines.

· Ability to manage sensitive and confidential information with integrity.

· Strong analytical and problem-solving skills.

· Excellent interpersonal skills to communicate effectively across the organization.

· Highly detail-oriented.
